Body+Beyond Ltd – Terms & Conditions
Effective Date: 01/04/2026
1. No Purchase Necessary
Signing up for any Body+Beyond programme or session does not require the purchase of any products or services. Consent is not a condition of any purchase.
2. Billing Policy
By signing up, I understand and agree that:
- I will be charged using the credit/debit card saved for my membership/package.
- Monthly memberships auto-renew each month. Memberships/packages entitle me to attend a set number of sessions per month in line with what I have purchased.
- Memberships/packages are non-transferable and non-assignable.
- Payment is required in advance of training sessions.
- I will be charged for missed or unused sessions, and no refund will be granted for sessions not completed.
- Body+Beyond Ltd. may terminate my programme at any time with no refund if I do not follow the programme or fail to conduct myself appropriately.
- All sessions for monthly memberships must be completed within 30 days of billing, and for 1-, 2- or 6-week kickstart packages, within 1, 2 or 6 weeks of the first session. Remaining sessions after these periods become void and cannot be carried forward, credited, or refunded.
3. Cancellation Policy
- I may cancel my package during the first 30 days (‘trial period’) at any time.
- Monthly memberships are month-to-month agreements. To cancel, I must provide 60 days’ written/email notice before the next billing date. Any scheduled billings during the notice period will be processed.
- Body+Beyond Ltd. reserves the right to cancel any membership/package at any time.
4. Freeze & Pause Policy
4.1 No Routine Freezes or Pauses
Body+Beyond does not offer routine membership freezes or pauses, including holidays, work travel, or personal commitments. Memberships are designed to support consistency, accountability, and long-term progress.
4.2 Exceptional Circumstances (Discretionary Freeze)
Freezes may be approved only in exceptional circumstances, such as:
- Injury
- Illness
- Medical conditions
Approval is at Body+Beyond’s sole discretion and requires suitable supporting evidence (e.g., medical documentation). Approval is not guaranteed and is reviewed on a case-by-case basis.
4.3 Freeze Request Process
- All requests must be submitted via email to freeze@bodybeyond.co.uk
- Requests must be received 30 days in advance of the requested freeze start date.
- Freezes cannot be applied retrospectively or within the first month of membership.
4.4 Payments During Approved Freezes
- Payments continue as normal during approved freezes.
- Any unused sessions will be credited to the member’s account for use upon return, subject to availability and booking policies.
- No cash refunds will be issued.
4.5 Emergency Freeze Requests
- In emergencies (sudden injury, illness), freeze requests may be considered with less than 30 days’ notice if the 24-hour session cancellation notice is met.
- Approval is discretionary and evidence must be provided.
4.6 Holidays & Time Away
- Memberships cannot be frozen for holidays.
- Members away for holidays will be provided with:
- Access to Body+Beyond’s online training programme
- Ongoing remote coaching support
- This ensures continued progress while away from in-person sessions.
4.7 Carry-Over of Missed Sessions
- Carry-over of missed sessions is at Body+Beyond’s discretion.
- Not automatic, not guaranteed, and subject to availability and programme structure.
- Unused sessions hold no cash value.
4.8 Freeze & Cancellation Restrictions
- Membership cannot be cancelled within 30 days of a freeze request.
- Membership cannot be cancelled to coincide with or immediately follow the end of a freeze period.
5. Session Cancellation & Lateness Policy
- Sessions must be cancelled minimum 12 hours in advance via phone/email.
- Cancelled sessions can be used later within the same month, subject to availability. If not used, the session counts as missed.
- Sessions cancelled less than 12 hours in advance or no-shows are charged in full.
- Appointments start and end on time. If a member arrives late, regardless of how late, Body+Beyond and the coach reserve the right to refuse entry to the session. The session will still count as a used session towards monthly credits.
6. Expiry of Session Credits
- Any unused session credits at the end of the programme length or membership package will expire. Credits cannot be carried forward, transferred, or refunded after the membership/package ends.
7. Release of Liability
- I acknowledge that trainers cannot provide medical advice and I should consult my GP before starting.
- I understand participation in exercise and conditioning programmes carries risk, including but not limited to strains, injuries, or other health issues.
- I release Body+Beyond Ltd., trainers, and associated parties from liability for any claims, injuries, or damages arising from participation.
8. Conduct of Training Sessions
- Proper attire is required (e.g., shorts, sweatpants, t-shirt, trainers). No jeans, sandals, or open-toe shoes.
- Sessions are conducted at agreed locations and usually last 45-50 minutes unless otherwise stated.
9. Membership Pricing & Annual Review
Body+Beyond Ltd. reserves the right to review and adjust membership pricing at its sole discretion in line with inflation, operational costs, and the ongoing development of services provided.

A pricing review will take place annually, with any changes typically implemented from April each year.

In addition to the annual review, Body+Beyond Ltd. reserves the right to review and adjust pricing at any time throughout the year, where reasonably required due to increases in business costs or changes to services.

Any pricing changes will be communicated to members with reasonable notice prior to taking effect.

Updated pricing will apply from the member’s next billing cycle following the notice period.
These adjustments ensure that Body+Beyond can continue to deliver a high level of coaching, facilities, and support to all members.
10. General Terms
- I understand this contract applies to all current and future services from Body+Beyond Ltd.
- The release of liability, consent, and agreement are continuously valid indefinitely.
- Body+Beyond Ltd. may amend these terms at any time, with updates effective upon posting.

12. Modification of Terms
- Body+Beyond reserves the right to modify or terminate programmes and these terms at any time.
- Material changes will be communicated, and updated terms are effective upon posting.
13. Acknowledgement
By purchasing a membership/package, booking or attending a session, I confirm I have read, understood, and agree to these terms and conditions. I am legally bound by this agreement.
